Events are a crucial part of bringing together the Â鶹´«Ã½Ó³» community. This page showcases upcoming and featured events, and provides information for those planning one.
The Office of Events schedules and coordinates all University-sponsored events on-campus, off-campus and online. The event scheduling system of the University is 25Live.
The Marketing and Enrollment Department offers many ways to assist you in promotion of an event. Once your event is confirmed by the Office of Events, complete a requisition form for print, graphic, digital and video/photo services here.

25Live Scheduling System
Information about our event scheduling system.
25 live is used to schedule every meeting and event held on the Wilf, Beren, and Cardozo campuses as well as any virtual and off-campus university-sponsored event. Submitting an event request through this system allows you to request rooms, setups, and related resources as well as promote it on the University Event Calendars.
What is 25Live?
25Live is the event scheduling software used by Â鶹´«Ã½Ó³». It is used to schedule every meeting and event held on the Wilf, Beren, and Cardozo campuses(as well as any off-campus university-sponsored event). Submitting an event request through this system allows you to request rooms, setups, and related resources as well as promote it on the University Event Calendars. 25Live is a web-based event publishing and scheduling application that can be accessed from any computer with an internet connection. 25Live streamlines the process of event scheduling by providing recommended locations based on attendee count and real-time availability. It also allows users to see photos of spaces, create favorites and lists, and customize search preferences.
All requesters on the Wilf and Beren campus are required to watch a 25Live introduction training. To access the training please click Once trained, the user will have access to extensive information. They will be able to see room status, pictures, and details as well as several calendars detailing the room usage, based on the needs of the user. All scheduled events will be available for review as well as two years of past events, with more available to the events staff, if necessary.
25Live is only available to staff members and faculty, students are to work directly with the Office of Student Life to request events.

Accessing 25Live
Once trained there are three ways to access 25Live:
- The user can follow the .
- The user can log into Inside Track and under the Employee Tab, in the Employee Tools and Systems column, there is a link to 25Live.
- Visit and select “Request an Eventâ€
Users will need to use their Inside Track login and password to access 25Live.
Additional Notes
Please allow a minimum of two business days for your event request to be processed. The Office of Events will determine the availability of space based on the scheduling policy* and will send a confirmation to the requester, providing all necessary information and approvals are obtained for the event. An email confirmation will be sent to the contact person when the location has been assigned. Your request will remain tentative until that time.
Once you receive your event confirmation email, please review it thoroughly to ensure the location, timing, and setup are correct. Any changes can be emailed to events@yu.edu along with your event reference ID (ex:2018-AA****). The user has limited editing powers and is able to edit the promotional description and attached files only.

Begin the event marketing process with the Marketing and Enrollment Department by completing the project request form.
Requests include images for campus flatscreens, invitations (both digital and print), photography, videography, IModules emails, webpage creation and social media and print advertising.

Plan Ahead
View the University Events Calendar prior to requesting your event to avoid conflicts with other University Events. Alternatively, email events@yu.edu when conceptualizing a large event for date recommendations.
Events will be reviewed individually. As requests are granted on a first-come-first-served basis, it is recommended that you submit your request as soon as possible.

Â鶹´«Ã½Ó³» Students
The Office of Student Life provides leadership training, programming support, guidance and referrals to all student leaders. To better represent the diverse student body, the Student Government and many clubs offer programs and events indicative of the vast interests of the students. Please contact the Office of Student Life, answers@yu.edu, to plan an event.

Planning Additional Needs for an Event
Once your event is confirmed, you may start planning your event. Included in your confirmation email will be links to the Marketing Enrollment requisition form, Academic Computing request, the parking request form and Catertrax. Please use these links to coordinate those details of your event.
Promoting an Event
Publicity and official planning cannot begin until your event is confirmed with the Office of Events and appears on the University’s All Events Calendar. This includes email announcements and social media posts. If you choose to print flyers, those can be hung on the post-it display boards found in lobbies and community areas across the campuses. Please note that flyers cannot be tapped to windows, walls, or stairwells.
Event Photography
The Marketing and Enrollment Department will help you find the appropriate, University-approved, freelance photographer for your event. You are responsible for hiring the photographer, coordinating his or her work at your event, and processing payment.
You must work with a University-approved photographer and adhere to guidelines and procedures for Â鶹´«Ã½Ó³» event photography.
